This policy describes how we handle personal information for the Wedded World marketing website and software platform. It is written for clarity; it is not a substitute for formal legal advice for your own organisation.
1. Who we are
Smart Station (Pty) Ltd ("Smart Station", "we", "our", or "us") operates the Wedded World brand, including this marketing website at weddedworld.com and the Wedded World software platform (together, the "Services").

This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the rights available to you under applicable law - including the South African Protection of Personal Information Act (POPIA), and where relevant the EU/UK GDPR for visitors or customers in those regions.
2. Scope
This policy covers (a) visitors to the marketing website, (b) people who contact us via forms or email, and (c) account holders and authorised users of the Wedded World platform. Product-specific processing for couple, guest, and vendor data you enter as a customer is described further below under 'Customer content'.
3. Information we collect
We may collect the following categories of personal information:
Identity and contact data - name, email address, phone number, practice or venue name, role (planner, venue, other), and message content when you contact us or request a bespoke arrangement.
Account and billing data - login identifiers, organisation details, subscription tier, invoices, and payment-related metadata processed via our payment providers (we do not store full card numbers on our servers when payments are handled by Stripe or similar processors).
Customer content - celebration records, couple and guest details, vendor records, documents, messages, and financial records that you or your team upload or generate in the platform. You control this content as the customer; we process it to provide the service.
Technical and usage data - IP address, browser type, device type, pages viewed, approximate location derived from IP, referral source, and interaction events on the marketing site and product (where analytics is enabled).
Cookies and similar technologies - as described in our Cookie Policy. Analytics cookies load only if you accept them via our consent banner (or equivalent control).
4. How we use information
We use personal information to:
Provide, secure, and maintain the Services; create and manage accounts; deliver features you request.
Respond to enquiries, demos, and support requests submitted through the website or email.
Process subscriptions and payments; send service, security, and transactional communications.
Improve the marketing website and product (including aggregated analytics when you have consented to analytics cookies).
Comply with law, enforce terms, prevent fraud and abuse, and protect our rights, users, and the public.
We do not sell your personal information. We do not use customer content to train public AI models.

Where those laws apply, we rely on: (a) contract - to provide the Services you request; (b) legitimate interests - to secure and improve our Services, respond to business enquiries, and market our Services in a proportionate way; (c) consent - for non-essential cookies/analytics and where otherwise required; (d) legal obligation - where we must retain or disclose information.
6. Sharing and processors
We share personal information only with trusted service providers who process data on our instructions, or where required by law. Typical categories include:
Hosting and infrastructure providers; email and form delivery services; payment processors (e.g. Stripe); customer support tools; analytics providers (e.g. Google Analytics) when you have consented.

7. International transfers
We may process and store information in Bali, Indonesia and in other countries where our providers operate. Where we transfer personal information from the EEA/UK to countries without an adequacy decision, we use appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms required by law.
8. Security
We implement technical and organisational measures appropriate to the risk, including encryption in transit (TLS/SSL), access controls, multi-tenant isolation for customer data, and staff access on a least-privilege basis. No method of transmission or storage is 100% secure; we work continuously to improve our safeguards.
9. Retention
Marketing enquiries are retained as long as needed to respond and for a reasonable follow-up period, then deleted or anonymised unless a longer period is required for legal claims or compliance.
Platform account data is retained while the account is active. After cancellation or termination, customer content is typically retained for up to 30 days to allow export or reactivation, then deleted or anonymised, except where we must keep records (e.g. tax, dispute, security logs) for longer under law.
Analytics data is retained according to the analytics provider’s settings and our configuration (often up to 14-26 months for GA4 properties, subject to change).
10. Your rights
Depending on your location, you may have the right to access, correct, delete, or receive a copy of your personal information; to restrict or object to certain processing; to withdraw consent; and to lodge a complaint with a supervisory authority (in South Africa, the Information Regulator; in the EU/UK, your local data protection authority).

If you are a guest, couple contact, or vendor whose data appears inside a customer’s Wedded World workspace, please contact that planner or venue first - they are typically the controller of that content. We will assist customers in fulfilling legitimate requests.
11. Children
The Services are directed at businesses and adults. We do not knowingly collect personal information from children under 18 for marketing accounts. If you believe we have collected such information, contact us and we will delete it promptly.
12. Cookies
Essential cookies are required for basic site operation (for example, remembering your cookie preference). Analytics cookies are optional and only set after you accept analytics in our consent banner. Full detail is in the Cookie Policy.
13. Changes
We may update this Privacy Policy from time to time. The “Last updated” date will change when we do. Material changes will be highlighted on this page or, where appropriate, notified by email to account holders.
